This policy explains how AniMoods collects, uses, stores and shares personal information when you visit our website, buy a product, create a learning account, join our mailing list or contact us.

Adam Digby, Director and owner, has day-to-day responsibility for privacy matters within the business. A N J Consultancy Ltd remains the legal data controller.

Who this policy applies to
This policy applies to visitors to the AniMoods website, customers, mailing-list subscribers, users of AniMoods digital learning products, people who contact us and people who interact with AniMoods through social media.

It applies to people in the UK and elsewhere, including customers in the USA. If the law where you live gives you additional privacy rights, we will honour those rights where they apply to us.

Personal information we collect
The information we collect depends on how you interact with us.

Orders and payments

  • your name, email address, telephone number where provided, billing address and delivery address

  • the products or services ordered, order value, currency, delivery information and order history

  • payment status, transaction identifiers, refunds, disputes and fraud-prevention information

  • limited payment details made available to us by Stripe, such as payment method type, card brand and the last four digits, where shown

Card payments are processed by Stripe. We do not receive or store your complete card number or card security code.

Digital learning accounts

  • your name and email address

  • login credentials managed through systeme.io

  • the courses or subscriptions you have purchased

  • course activity and progress

  • certificate and completion information

  • subscription and payment status

Mailing lists and marketing

  • your name and email address

  • the date and source of your sign-up

  • your consent and marketing preferences

  • email delivery, opening and link-interaction information made available through systeme.io

Enquiries and correspondence
If you contact us through a website form, email or social media, we collect your name, contact details, the content of your message and any information you choose to provide. Social media platforms may also provide us with your public profile name and information connected with your interaction.

Website and technical information
Our website is hosted by Squarespace. Squarespace collects information needed to operate the website and power its built-in analytics. This may include:

  • your IP address and approximate location

  • browser, network and device information

  • the page or website that referred you to us

  • pages visited, searches, clicks, scrolling, internal links and timestamps

  • cookie identifiers and information about how the website and checkout are used

We do not currently use Google Analytics, Meta Pixel, Hotjar, TikTok Pixel or LinkedIn Insight Tag on the AniMoods website.

Sensitive information
AniMoods products concern emotional wellbeing, but our website and courses are not designed to collect clinical records, therapy notes or detailed information about anyone's physical or mental health. Please do not send this type of information through our website, email or social media.

If sensitive personal information is provided to us unexpectedly, we will limit access to it and will not use it for a new purpose unless we have both a lawful basis and an additional legal condition for doing so. We will delete it when it is no longer reasonably needed, unless the law requires us to retain it.

UK data-protection law requires us to identify a lawful basis for each use of personal information. We rely on the following bases.

Email marketing and cart reminders
We use systeme.io to manage email marketing. We may send marketing where you have consented. We may also send information about similar AniMoods products or services where the law allows us to use the soft opt-in following a sale or negotiation for a sale. In that case, we will provide a clear opportunity to opt out when we collect your details and in every marketing message.

If you begin but do not complete a purchase, we may send a limited cart reminder only where we have the permission required by law.

You can unsubscribe at any time by using the link in a marketing email or by contacting hello@animoods.co.uk. Unsubscribing from marketing does not stop service messages about an order, account, subscription or legal notice.

Cookies and similar technologies

Who we share information with
We share personal information only where necessary for the purposes described in this policy. Recipients may include:

  • Squarespace, which hosts the website, store, forms and built-in analytics

  • Stripe, which processes payments and helps prevent fraud

  • systeme.io, which provides email marketing, accounts, course delivery, progress tracking, certificates and subscription administration

  • postal, courier and fulfilment providers, so that physical products can be delivered

  • our accountant or bookkeeping support, where financial records need to be processed

  • professional advisers, insurers, IT or security support where reasonably necessary

  • banks, card networks, regulators, courts, law-enforcement bodies or public authorities where required by law or needed to establish, exercise or defend legal rights

  • a buyer, investor or professional adviser involved in a genuine sale, restructuring or transfer of the business, subject to appropriate confidentiality and data-protection safeguards

Some providers act as our processors and follow our instructions. Others, including payment providers and social media platforms, may also act as separate controllers for some of their own processing. Their privacy notices explain those activities.

We do not sell or rent personal information. We do not share customer or subscriber lists with third parties for their own unrelated marketing.

International transfers
Some service providers or their support teams may process personal information outside the UK, including in the European Economic Area and the USA. For example, Squarespace and Stripe operate internationally. systeme.io states that its main servers are hosted by Amazon Web Services in Ireland.

Where a restricted transfer is made, we require an approved transfer mechanism where one is needed. This may include UK adequacy regulations, the UK Extension to the EU-US Data Privacy Framework for participating US organisations, the UK International Data Transfer Agreement, the UK Addendum to approved contractual clauses, or another safeguard permitted by UK data-protection law.

You may contact us if you would like more information about the safeguards used for a particular transfer.

How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including legal, accounting, security and reporting requirements. Our usual periods are:

  • Customer purchase and financial records: 7 years, to support accounting, tax, transaction and legal requirements.

  • Email subscribers: until you unsubscribe or after 24 months without meaningful activity, whichever happens first. We may retain a minimal suppression record afterwards so that we do not contact you again by mistake.

  • Inactive digital learning accounts and course records: 36 months after the last activity, unless purchase, certificate or financial records must be kept for longer.

  • General enquiries and routine correspondence: 12 months after the matter is closed.

  • Incomplete checkout or cart information: normally no more than 12 months, subject to the settings and lawful retention periods of the platform and payment provider.

  • Privacy rights requests and data-protection complaints: normally up to 6 years after the matter is closed, where needed to demonstrate compliance or manage legal claims.

  • Website security logs and analytics: for the period reasonably needed for security and reporting, subject to platform settings. Cookie durations are described above.

We may keep information for longer if a legal dispute, fraud investigation, regulatory requirement or other lawful reason makes that necessary. When information is no longer needed, we delete it or anonymise it.

How we protect information
We use reasonable technical and organisational measures appropriate to the size and nature of the business. These include controlled access to business systems, password-protected accounts, secure third-party platforms, encryption used by our providers, software updates, backups and limiting access to people who need the information for their work.

No internet transmission or storage system is completely secure. If a personal data breach occurs, we will assess it and notify the Information Commissioner's Office and affected individuals where the law requires us to do so.

Children's information
AniMoods products may be used by children or young people with appropriate adult or professional support, but we sell products, create learning accounts and take marketing sign-ups only from people aged 18 or over. We do not knowingly collect personal information directly from anyone under 18 through the website.

Adults and professionals using AniMoods with a child should not provide the child's identifiable personal or clinical information to us. If you believe a person under 18 has provided personal information directly, please contact us so that we can review and, where appropriate, delete it.

Automated decision-making
AniMoods does not use personal information to make decisions about you based solely on automated processing where those decisions produce legal or similarly significant effects. Stripe and other payment providers may use automated tools for payment security and fraud prevention under their own privacy notices.

Your privacy rights
Depending on the circumstances and the law that applies, you may have the right to:

  • ask for access to the personal information we hold about you

  • ask us to correct inaccurate or incomplete information

  • ask us to delete information

  • ask us to restrict how information is used

  • object to processing based on legitimate interests

  • receive certain information in a portable format

  • withdraw consent at any time where we rely on consent

  • complain about how we use your information

These rights are not absolute and may depend on our lawful basis and the circumstances. To exercise a right, email hello@animoods.co.uk. We may ask for reasonable information to confirm your identity. We normally respond within one month. Where a request is complex, or where we receive a number of requests from you, the law allows us to extend this by up to a further two months, and we will let you know if that applies. We do not normally charge a fee.

YOUR RIGHT TO OBJECT TO DIRECT MARKETING: You can ask us to stop using your personal information for direct marketing at any time. We will stop, although we may keep a minimal suppression record to make sure we respect your request.

Data-protection complaints

If you think we have not handled your personal information properly, please email hello@animoods.co.uk with the subject line 'Data Protection Complaint'. Please explain what happened and the outcome you are seeking.

We will acknowledge a data-protection complaint promptly, as soon as we reasonably can. We will investigate without undue delay, keep you reasonably informed and tell you the outcome without undue delay.

You also have the right to complain to the Information Commissioner's Office. You can find current contact and complaint information at ico.org.uk/make-a-complaint.

Links and third-party services
Our website or social media pages may link to other websites and services. We do not control how those organisations use personal information. Please read their privacy notices before providing information to them.

Changes to this policy
We may update this policy when our services, suppliers or legal obligations change. The latest version will be published on the AniMoods website with a revised 'last updated' date. If a change materially affects how we use existing personal information, we will take additional steps to tell affected people where appropriate.
